Guidelines to increase trust, transparency, and integrity through Records Management and System Security
Personal Identifying Information (PII) is data or information that can be used to identify an individual such as a driver's license, social security number, or combination of basic data like name, email address, work location, or date of birth. To respect people's personal information, UDOT must safeguard the PII of employees, partners, and members of the public to prevent misuse.
All employees have a role in protecting PII. UDOT’s Privacy Group can help determine whether specific information is PII and how it should be handled.
If you work with data or information that could be PII, reach out to the Privacy Group using this form. They will help determine whether the information is PII and provide guidance on how it should be handled. If you’d like to learn more about PII, take a look at Utah’s privacy law.
UDOT already has good practices in place for PII. For instance, our right-of-way team, permits offices, and contract administrators have standards in place. Practices include limiting the amount of PII collected and stating why it is needed, as well as defining how UDOT is allowed to use PII and who can view it. There may be other areas within UDOT’s activities that need similar guidelines.
