PII is data or information that may be used to identify an individual. Some examples are name, driver's license number, photos, social security number, addresses, work place, etc.
A record is any information or data—physical or digital—that documents actions or decisions of business at UDOT. Almost everything you create in the course of your work is a record. Read more about state records management practices here.
All state employees have a responsibility to safeguard PII by managing data and records in ways that comply with expectations and prevent misuse. Review UDOT's data, privacy, and records policies to learn more about employee expectations and responsibilites.
Teams should start by identifying the PII, data, and records that you work with. Work together to develop and document procedures for protecting PII and records, including how you store records, who can access them, and when to destroy them in compliance with state law and UDOT policy.
