Records are defined by their content, purpose, and use — not the format. To manage records well, it is important to be aware of the formats your records may be in. These formats include, but are not limited to:
Paper
Data & Databases
Text Messages
Chat Messages
Social Media Posts
Google Drive Files
MS Office Files
PDF Files
Files in the Cloud
Webpages
Photos
Generative AI Inputs & Outputs
Audio & Video Recordings
Dashboards
Maps
Remember: The majority of UDOT records are public records and may not be destroyed or transferred to the state archives without an official retention period approved by the State Records Management Committee.
